Terms and Conditions

Organisational Bookings (not open events)

  • Helpful Information - you agree to read, apply and abide by the Helpful Information provided in this website.


  • Fees and Payments – We will confirm a fixed fee with you, rather than a per person cost, for the planned event. The fee will depend on the number of leaders required, which is determined by the number of participants, location and activities, and any other requirements such as the provision of transport or meals. As a rough indication each increase of 6 or so participant may require an additional leader*. In order to secure your booking and ensure the day goes ahead, PSO will agree with you invoicing arrangements prior to the activity day. 30 day payment terms apply. 


  • Booking Amendments by you – Simple amendments, such as changing names or altering the numbers of those participating, may be made to bookings at any stage at no cost, except if the increase in numbers is deemed to require additional leaders. In this case, and if this can be accommodated, an additional charge will apply.  If the increase in numbers cannot be fully accommodated a limit to the number of participants will apply.  If the requirement for a postponement is notified from 15 days from date of booking to 15 days before (inclusive) the activity day and a new delivery date agreed that sees the activity occurring in a reasonable timeframe acceptable to PSO; an administration fee of 5% may be charged.  If the requirement for a postponement is notified within 14 days or less of the activity day ; and a new delivery date agreed that sees activity occurring in a reasonable timeframe acceptable to PSO; an administration fee of 10% may be charged. Failure to agree a new activity date acceptable to PSO within 7 days of notification of the postponement will be treated as notification of a cancellation. 


  • Booking Amendments by us – we reserve the right to amend the planned event should this be required in the judgement of the qualified walk leader to ensure safety or because of restrictions in access. We will provide as much notice as is feasible but reserve the right to make amendments even on the day of delivery. If amendments are required, we will firstly make all efforts to ensure a quality event, commensurate as far as possible with the desired ethos and outcomes of the original planned event, is safely delivered on the original date. If this is not possible, we will negotiate with you an alternative delivery date, that may require an alteration to the originally planned event depending on other factors, such as access or weather. There will be no additional charge incurred for such alterations, but we do not as accept any responsibility for any losses incurred should we need to cancel the event.


  • Cancellations by you - All cancellations should be requested in writing by email, text or post.  In this event a fee will be invoiced as follows:
  • From 15 days from the date of booking to 15 days before (inclusive) the activity day; 0% fee.
  • From 14 days to 8 days before (inclusive) the activity day; an invoice of 25% of the full payment fee.
  • Within 7 days before (inclusive) the activity day; an invoice of 50% of the full payment fee.
  • On the day cancellations or non-participation; an invoice of 75% of the full payment fee.


  • Cancellation by us - If we need to cancel an event, rather than amend the plan, it will likely be due to safety concerns, and we will give as much notice as possible. In this case there will be no fee charged.


* 1 - 6 participants and 1 leader, 7 - 12 participants and 2 leaders and so on (indicative only)


Bookings on our programme of open events (individual bookings)

We have to commit to our event planning and staffing well in advance of an event. To prevent losses to our social enterprise from unfilled places, in the event of amendments or cancellation by you or us and subject to our discretion, you will have the following refund and transfer options, depending on the notice given:


  • Booking Amendments by you – Simple amendments, including changing names of those participating, may be made to bookings at any stage at no cost. If you would like to request a transfer to a different event in our programme (if space permits) you must do so within 14 days or more of the date of your event.
  • Booking Cancelations by you - If you provide notice of cancelling your place less than 14 days from the event date there is no transfer or refund.  If you provide notice of cancellation 14 – 28 days from the event date, we will refund 50% (less the admin fees charged by Eventbright) or enable a transfer to another event free of charge. If you provide notice of cancellation more than 28 days from the event date, we will refund 100% (less the admin fees charged by Eventbright) or enable a transfer to another event free of charge. All cancellations and requests for a refund should be notified in writing by email or through the ‘contact us’ form available on our website (www.psocic.com). We will respond to your request within 5 working days.

 

  • Booking Amendments by us – As a social enterprise we require a minimum number of participants per event to be feasible, so we reserve the right to cancel an event no less than 7 days before, with a full refund or free transfer to another event provided. All our events are reviewed a minimum of 14 days in advance when you will be notified if we are considering viability. We also reserve the right to amend the planned event should this be required in the judgement of the qualified walk leader to ensure safety, including due to weather, the nature of the participants or because of restrictions in access. In such cases no refunds will be issued. We will provide as much notice as is feasible of any changes but reserve the right to make amendments even on the day of delivery. If amendments are required, we will make all efforts to ensure a quality event, commensurate as far as possible with the desired ethos and outcomes of the original planned event, is safely delivered on the original date. If it is not possible to provide a suitable event on the planned date, we will arrange for an alternative delivery date within 90 days of the original date. This may require an alteration to the originally planned event depending on other factors, such as access or weather. If we cancel the event and the new date or location does not suit you must apply within 7 days of being notified for a full refund by email or by completing the ‘contact us’ form available on our website (www.psocic.com). We will respond to your request within 5 working days. We do not accept any responsibility for any losses incurred should we need to cancel the event.
